Job Description

SRS is immediately seeking a Real Estate Project Admin. The successful candidate will be highly organized and detail-oriented, enjoys solving problems, and enjoys being part of organizing and documenting process in a start-up department environment. This role will report directly to the VP of Real Estate.

RESPONSIBILITIES:

Daily/Ongoing

  • Manage real estate legal document reporting/tracking including routing with required approvals as needed
  • Ensure transaction project tracker is updated including critical dates on lease renewals
  • Mailing and receipt tracking of lease notices
  • Submits location analytics updates and ensures analytics tools are accurate and updated timely and on a consistent cadence
  • Maintains shared department folders, ensuring complete documentation on deals and ensures documents properly named according to set naming conventions.
  • Maintain and update Real Estate internal intranet page (CID)
  • Track/Report and collect TI Allowance Reimbursement. Aggregate documents from real estate managers and construction as required for package submission according to lease requirements.
  • Track/report on Surrender/Sublease Milestones in support of Director of Construction & Facilities
  • Review and track broker invoices and fees

Ad Hoc

  • Supports lease data cleanup initiatives
  • Provides notary public services
  • Supports VP of Real Estate with quarterly department meetings
  • Performs data entry into internal databases
  • Support in documenting department process
  • Assists in maintaining & updating onboarding materials and process for new team members
  • Shadow and support the Real Estate Project Coordinators in standing up Greenfields, etc
  • Performs research and analysis for VP of Real Estate as requested
  • Performs reporting and special projects as required

QUALIFICATIONS:

  • Proven experience as a Real Estate Coordinator or Administrative Assistant in a Corporate, commercial Real Estate department (Residential experience not applicable).
  • Familiarity with commercial real estate contracts and lease agreements.
  • Proficiency in Microsoft Office Suite and lease administration software (CoStar Real Estate Manager a plus)
  • Proficiency in Excel
  • Strong organizational skills with the ability to multitask.
  • Excellent written and verbal communication skills.
  • Attention to detail and problem-solving abilities.
  • "Get it done" attitude.
  • Strength in building and/or documenting process a plus.
  • High school diploma required, associate or bachelor's degree in business administration or related field preferred.
