Administrative Support Professional

***This position requires a US Citizenship and the ability to obtain a BEP high-risk Public Trust clearance with financial background check to be considered. ***

An Administrative Support Professional provides administrative assistance and support services including meeting support, management studies, data analysis, and preparation of responses. This role involves assisting in the planning, coordination, and execution of program operations to ensure efficient and effective program delivery. The professional collaborates with various stakeholders, including project managers, team members, and clients, to gather and analyze program data, monitor progress, and identify areas for improvement. Administrative Support Professionals play a crucial role in ensuring the smooth functioning of an office by managing day-to-day administrative responsibilities and facilitating effective communication within the organization.

Compensation & Benefits:

Estimated Starting Salary Range for Administrative Support Professional: $28.00 -$31.00 an hour

Pay commensurate with experience.

Full time benefits include Medical, Dental, Vision, 401K and other possible benefits as provided. Benefits are subject to change with or without notice.

Administrative Support Professional Responsibilities Include:

  • Performs administrative support in response to the following contract requirements.
  • Provides program management and administrative support.
  • Supporting the Contractor Environmental Engineering Coordinator to maintain Safety & Environmental training documentation (certificates, spreadsheet) for the ESSC Contractors.
  • Provide document management and maintain a complex electronic and hard copy filing system/record retention requirements for regulatory and other documents.
  • Coordinate mailing of required regulatory and other correspondence.
  • Route documents and ensure regulatory submission dates are met; ensure proper documentation review and signatures.
  • Coordinate meetings, provide agendas, take notes, and provide minutes.
  • Schedule annual and as-needed environmental training for all groups at the WCF.
  • Answer general Environmental Engineering Branch (EEB) telephone and respond to inquiries in general email box. Route appropriately.
  • Coordinate approvals of purchases, projects, and other items.
  • Assist EEB Manager with Contractor and Visitor Access Requests and escorting for projects.
  • Maintain inventory of office supplies and coordinate with federal employee and/or ESSC coordinators to order needed supplies.
  • Retrieve incoming supplies & mail, document receipt and route to appropriate person.
  • Performs other job-related duties as assigned

Administrative Support Professional Experience, Education, Skills, Abilities requested:

  • High School diploma required. Associate degree preferred. Experience may be substituted for degree.
  • Excellent organizational and time management skills.
  • Strong communication skills, both written and verbal.
  • Attention to detail and accuracy in handling data and information.
  • Ability to multitask and prioritize tasks effectively.
  • Familiarity with office equipment, such as printers, scanners, and fax machines.
  • Knowledge of basic bookkeeping and record-keeping.
  • Customer service orientation with the ability to interact professionally with clients and colleagues.
  • Adaptability and ability to work in a fast-paced environment.
  • Problem-solving skills to address challenges and find efficient solutions.
  • Discretion and ability to handle sensitive information confidentially.
  • Proficiency in handling basic administrative tasks, including filing, scheduling, and coordinating meetings.
  • Proficient in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or equivalent.
  • Past applicable job experience may include, but is not limited to: Operations Support Specialist, Program Coordinator, or Project Assistant.
  • Per our government client US Citizenship is required
